Folding promotional tables: with interchangeable graphics, one frame serves several campaigns

A folding promotional table can support several activations when its frame and graphics are quoted separately from the outset.

At an activation, a folding promotional table can look like a simple purchase until the campaign, message, or setup location changes. The frame and the graphics are two separate decisions within the same table. Separating them in the quotation clarifies what can be reused and what would need renewal.

For 70.4% of the US promotional-product distributors surveyed by the Promotional Products Association International, durability is the strongest signal of a product's value, according to its research published in January 2026. That finding does not measure the Colombian market or say how long a table lasts. It does help explain why the frame, which is kept, should be distinguished from the graphics, which are renewed.

In Large Format Review's Wider Perspective 2025 survey, with more than 3,000 print, signage, and display professionals in the UK, Europe, and the US, quality (86%), service (82%), and fast turnaround (76%) ranked ahead of price (71%) among what they believe matters most to their clients. A clear quotation keeps urgency from turning into a blind decision. It is not a measurement of buyers in Colombia, but of the people who produce the pieces.

Which parts of a folding promotional table can be reused?

The frame is the part that can stay in use: the hardware, the joints, and the work surface. The graphics, the printed material carrying the brand, promotion, or message, are what change with each campaign. Reuse depends on the graphics being removable and replaceable without damaging the base. Dimensions, materials, load capacity, and the way graphics attach depend on the model and its technical sheet.

Separating both components makes one proposal comparable with another. Each quotation should itemize the cost of the frame and the cost of the graphics separately. To make that possible, it helps to send these details from the first contact:

  • Frame model and assembly method.
  • Number of graphics, their visible sides, and the attachment method.
  • Quantity requested and the date when the activation must be ready.
  • Final-art files and those responsible for approving them.

Pricing pressures and profitability were one of the three topics of the FESPA Print Census 2026, run by the international federation of printing associations, whose survey was open from April 1 to August 30, 2026. With the model, graphics, quantity, and date defined, two quotations can genuinely be compared. The census is an international industry reference, not a price list or timetable for Medellín.

When are replaceable graphics worth it?

They are worth it when the message changes often: a seasonal promotion, a launch, or one trade fair after another. Renewing the message does not require replacing the whole table if the supplier's system allows only the graphics to be changed. That option should be described in the proposal, because not every model uses the same graphic type or installation method.

Quantity matters too. When budgets tighten, 60% of promotional-product buyers in the US cut quantity first and only 11% cut customization, according to the same association research. The cost of a table changes with the model, graphics, quantity, finish, and required date. Lead time depends on the run, artwork approval, and finishes, so the committed date should be written into the quotation.

At many activations the table sits alongside other pieces: a banner stand, a branded backdrop, or a full booth. If they are all quoted together, the graphics on each one can keep the same visual line. Exhibition and advertising stand projects bring those pieces together in a single setup.
