An event tent starts with the layout plan: dimensions come before printing

A layout plan may require every installed element's dimensions. That is why a tent is planned together with its location and scale.

A tent may look like a printing decision, yet at a public event it is also part of the setup. Its dimensions, location and nearby elements must fit within one shared layout plan before the printed design is defined.

Medellín City Hall’s public-event contingency plan review requires a scale layout plan showing the dimensions of every element to be installed. The city reports a 15-business-day response time for that review.

That requirement does not make every standalone promotional tent subject to the review. Whether the review applies depends on the event’s conditions and public gathering; the plan, however, helps organize the conversation between organizer, setup and printing.

What should an event tent resolve before printing?

The first decision is spatial: where the tent goes, its dimensions and the other elements sharing the setup. A design can only be fitted precisely when the layout plan establishes the available space, including the scale of every installed element.

For public-gathering events, the city’s requested plan brings together the dimensions of every installed element. The tent should not be treated as an isolated piece when it belongs to that whole, because its placement intersects with routes and other setup components.

  • Tent dimensions and the dimensions of surrounding elements.
  • Location in the layout plan and its relationship to the overall setup.
  • Final artwork fitted to the areas that will actually be visible.

When does the process change for tents in Medellín?

It changes when a tent is part of an event subject to contingency review: the scale plan becomes part of the project information. The review timeline differs from the tent production timeline, which depends on print run, finishing and the conditions agreed in the quotation.

Plaza Mayor Medellín’s fair calendar, which lists Nextech 2026 from September 22 to 24 and the Housing Fair from September 25 to 27, shows why setup is coordinated in advance. An announced event does not mean it uses or requires promotional tents. For display projects, display and advertising stand production is integrated into that spatial definition.

What can be expected from colour on folding tents in Medellín?

Colour should be discussed as a printing-process capability, not as an automatic guarantee for every tent. The HP Stitch S500 data sheet reports a maximum 1.5 dE2000 variation for 95% of measured colours; dE2000 measures perceived difference between colours.

The same data sheet reports that result for transfer paper and direct-to-fabric printing, and recommends 25% to 50% external relative humidity when printing on paper. Those figures describe equipment and process, not the resistance of a particular tent. Water resistance, fire resistance and structural suitability depend on the product and should appear in the supplier’s information.
